General Instructions For Customizing Mailing Stuffers

For Local/Regional Data And Sponsors

 

Introduction

 

Safe Communities of the Berkshires has developed a series of traffic safety mailing stuffers for distribution by Berkshire Mutual Insurance Company with their monthly billing.  These stuffers contain Berkshire County crash data and characteristics in chart form, along with information about safe driving habits, typical driving problems, and impacts of dangerous driving practices.

 

This document provides basic guidelines for customizing the stuffer templates for local or regional data and logos.

Background

 

The stuffer templates are prepared in Microsoft PowerPoint 97 format, with text boxes, embedded graphics logos, and charts.  Users should have basic knowledge and skills for operating PowerPoint 97.

 

The templates are sized at approximately 8 3/8” x  3 11/16” for insertion in standard billing envelopes.  Printed back-to-back, on two sides of an 8 ˝” x 11” sheet of paper, the two slides are centered to line up for cutting to size and proofing.

 

The crash statistics in the stuffers are provided by the Massachusetts Registry of Motor Vehicles (RMV), US Census Bureau, and the Massachusetts Governor’s Highway Safety Bureau (GHSB).

 

Requirements

 

Organizations using the templates under the auspices of the GHSB should retain the GHSB logo included in the template.  Any changes in the data and/or text on the template should be cleared with the GHSB.

 

Customizing Instructions

 

Logos: It is recommended that logos be sized approximately to the size to be used on the template, before pasting into the template. This will help to maintain a manageable file size.  To replace a logo

 

(1)   Click on the existing logo,

(2)   Press <delete>,

(3)   Click Insert on the menu bar,

(4)   Click on Picture

(5)   Click on From file

(6)   Locate and select your logo graphics file from your source disk

(7)   Click Okay

(8)   Size and position the new logo where the original logo was located

(9)   Click outside the chart editing window, while on the chart worksheet, to return to the slide view (Closing the chart editing window, while on the data worksheet, will result in the data table’s being displayed.)

 

Text: There are many text boxes on each template.  Changes to text should be made carefully, to preserve the type sizes and fonts, which were selected after much review.

 

Charts:  To edit chart data, double-click on the chart, which opens on the chart worksheet.  The data is in a separate work sheet.  If you are using data for your locality or region, click on the data worksheet tab, and update the data table with your data.  Changes will also be required for the chart titles.  Titles are changed on the chart worksheet.  Click in the title text box and update the title to reflect your location, region, data date range, etc., as appropriate.

 

Data for use in the stuffers and other information tools can or will be available on the GHSB web site at www.massghsb.com.

 

Colors:   These stuffers were developed for black and white printing.  Colors currently used in the stuffer are not necessarily suitable for color printing.  Use your own judgment.
